Payroll/Office Assistant

JOB TYPE: Full Time
LOCATION: OMB
REPORTS TO: Assist Commissioner of Finance
SALARY RANGE: $27,000.00-$68,494.00

SUMMARY:
The Payroll/Office Assistant is responsible for administrative and financial duties in support of the OMB payroll and office staff.

QUALIFICATIONS:
• High School Diploma or GED required.
• Minimum of three (3) years office experience required.
• A.A. in business, accounting, or finance or equivalent years of experience required.
• Excellent organizational skills.
• Ability to deal with confidential data.
• Strong PC skills in a Windows environment, including Word and Excel.
• Ability to understand and follow directions.
• Knowledge of accounts payable and accounts receivable entry preferred.
• Capable of maintaining accurate records.
• Pleasant attitude toward all employees and co-workers.
• Pass a background check
• Must be willing to sign a confidentiality agreement

DUTIES AND RESPONSIBILITIES
• Handles and accesses confidential materials.
• Processes adds/deletes/changes to employee payroll records.
• Prepares PPAN changes to send to payroll specialist.
• Assists payroll specialist with weekly payroll processing.
• Processes weekly payroll when payroll specialist is absent.
• Processes PO/Check requests when needed.
• Performs data entry when needed.
• Perform filing functions as needed.
• Performs general office support responsibilities; such as, answering phones, screening calls and taking messages; reviewing, sorting and distributing incoming mail; operating copiers and other office machines.
• Performs other related duties as assigned.

WORKING CONDITIONS:
• This is not a remote position.
• Nature of work is such that the incumbent experiences infrequent periods of low stress levels due to workload.
• Work is exclusively indoors, in a controlled climate area.
• Little threat of personal danger or risks.
• Hours are typically 8-5, but possibly with some extra hours. May involve some evening or weekend work.
• Travel is not required.
