Administrative Office Assistant (2 Positions)

SUMMARY:
The Administrative Office Assistant in the Executive Office is responsible for the reception area and providing administrative support work in the Office of the Chief Executive.

QUALIFICATIONS:
• H.S. diploma.
• Ability to make visitors feel welcomed
• Able to operate telephone console
• Able to complete financial forms
• Solid basic math capabilities
• Maintain call log
• Strong verbal skills
• Able to communicate respectfully via email and telephone
• Ability to be highly organized, flexible, agile and to collaborate as an effective team member
within a fast-paced policy environment.
• Familiarity with and ability to operate various office equipment, including photocopier, fax machines and other office equipment
• Basic personal computer skills in a Windows environment, including spreadsheet and Word applications
• Must have current valid driver's license.
• Must be insurable under the Mille Lacs Band Drivers Insurance policy.
• Must pass a pre-employment drug and alcohol test.

DUTIES AND RESPONSIBILITIES
• Answers phone and obtains caller's name and arranges for appointment with person called upon
• Directs callers and visitors to destination and records name, time of call, nature of business
• Responsible for processing check requests, VISA usages, travel post-trips and pre-trips
• Responsible for the reception area and ensuring guests feel welcome
• Answering telephones, taking messages and directing callers to the appropriate office

• Deciding what forms are required to be filled out for different purposes
• Anticipating needs of the office
• Problem-solving will require critical thinking, cultural sensitivity and effective coordination with the policy team.

WORKING CONDITIONS:
• Nature of work is such that incumbent experiences infrequent periods of moderate to high stress levels due to current workload of visitors and callers. Agitated or distressed callers/visitors may also be a source of stress.
• Work is exclusively in doors in a controlled climate area.
• Little threat of personal danger or risk.
• Hours are typically 8-5, but possibly with some extra hours
• Some local travel is required.
• On occasion, work may include evening and weekend hours in order to meet pending deadlines.
