Community Center Administrative Coordinator

SUMMARY:
The Community Center Administrative Coordinator (CCAC) performs administrative and coordinating duties in support of the District Representative. CCAC is responsible on a daily basis for ensuring the smooth operation of the Community Center and Community functions, as well as providing administrative support to the District Representative.

QUALIFICATIONS:
• High school diploma of GED is required.
• Associates degree in secretarial science or equivalent combination of training and experience is preferred.
• Two (2) years of experience in word processing, making travel and meeting arrangements, and acting as a liaison for the District Representative to constituents.
• Excellent interpersonal and organizational skills.
• Ability to deal with confidential information in a professional and respectful manner.
• Strong PC skills in a Windows environment, including word, excel, publisher, and office support software.
• Ability to operate office machines, including but not limited to photocopying machines, fax machines and dictation equipment.
• Ability to understand and follow directions.
• Strong interpersonal, organizational, time management, and communication skills.
• Knowledge of and understanding of Band programs and Departments.
• Must have a current valid driver’s license.
• Must be insurable under the Mille Lacs Band Drivers Insurance Policy.
• Must pass a pre-employment drug and alcohol test.

DUTIES AND RESPONSIBILITIES
• Has access to and handles confidential materials.
• Responsible for maintaining and scheduling community center calendar.
• Make meeting, travel and special events (e.g., lecture series, conferences, etc.) arrangements.
• Produce, compose and edit correspondence, manuscripts, minutes and other materials in relation to events at the community center.
• Perform general office support responsibilities; such as, answering phones, screening calls and taking messages; reviewing, sorting and distributing incoming mail; operating copiers and other office machines.
• Responds to band members inquires.
• Prepare purchase orders and check requests.
• Monitor District I budget.
• Maintain inventory of District equipment and supplies.
• Maintain and protect client confidentiality and follow data pricvacy practices.
• Review, file, and coordinate with District Representative on ongoing projects including but not limited to amendment of statutes, Bills being sponsored, Resolutions and other activities correlating to Band Assembly.
• Other duties as assigned.

WORKING CONDITIONS:
• Nature of work is such that incumbent experiences infrequent periods of modest stress levels due to workload.
• Work is almost exclusively in doors in a controlled climate area.
• Little threat of personal danger or risk.
• Hours are typically 8-5, and quite often may involve some evening or weekend work.
• Travel may be required for any special projects.
