Legislative Aide- District I Representative

SUMMARY:
The Legislative Aide performs assists with Community Engagement, Administrative and secretarial duties in support of the District I Representative.

QUALIFICATIONS:
• Associates degree in secretarial science or equivalent combination of training or 5-10 years of Mille Lacs Band of Ojibwe Tribal Government experience is required.
• Bachelor’s degree preferred.
• Excellent interpersonal and organizational skills and works as a team for District I.
• 5 years of facilitating meetings and workgroups required.
• Ability to deal with confidential information.
• Strong PC skills in a Windows environment, including Word, Excel, and office support software.
• Ability to respectfully engage with District Constituents in addressing issues and community needs.
• Ability to understand and follow directions.
• Capable of maintaining accurate records.
• DI Band Member preferred.
• Must have a valid driver’s license.
• Must be insurable under the Mille Lacs Band Drivers Insurance policy.
• Must pass a Pre-employment drug & alcohol test.

DUTIES AND RESPONSIBILITIES
• Set up & facilitate monthly Legislative Committee’s date and set up schedule of presenters for these meetings and documenting and reporting progress monthly.
• Prepare for and set up monthly community meetings.
• Has access to and handles confidential materials.
• Responsible for maintaining and scheduling complex appointment calendars.
• Make meeting, travel and special events (e.g., lecture series, conferences, etc.) arrangements.
• Produce, compose and edit correspondence, manuscripts, minutes and other materials.
• Perform general office support responsibilities; such as, answering phones, screening calls and taking messages; reviewing, sorting and distributing incoming mail; operating copiers and other office machines.
• Responds to band members inquires and refers them on to appropriate division and departments.
• Prepare or close outs of monthly purchase orders and submit monthly check requests for signature to Representative.
• Monitor District I budget.
• Maintain inventory of District I equipment and supplies.
• Maintain and protect client confidentiality and follow data privacy practices.
• Other duties as assigned.

WORKING CONDITIONS:
• Nature of work is such that incumbent experiences infrequent periods of modest stress levels due to workload.
• Work is almost exclusively in doors in a controlled climate area.
• Little threat of personal danger or risk.
• Hours are typically 8-5, but possibly may involve some evening or weekend work.
• Travel is limited.
