Days/Hours Monday - Friday, 7:00am to 3:00pm

Section 1. Position Purpose

Responsible for providing all necessary clerical and secretarial services for the Operations
Managers and Director of Surveillance and responsible for all aspects of purchasing items for the
Surveillance Department. Run financial reports daily looking for abnormalities. Extensive
datamining of financial and gaming records.

Section 2. Education, Experience, and Skills Requirements

  • High School Diploma or GED required
  • AA degree in secretarial or administrative science or equivalent combination of training and
    experience
  • Minimum of 4 years admin experience required
  • Minimum of two years progressive data entry experience
  1. Ability to deal with highly confidential material
  2. Surveillance or audit experience preferred
  3. Strong written and verbal communication skill is required
  4. Strong personal computer skills in a Windows and Excel environment, including
    spreadsheet and word applications
  5. Self-starter with excellent interpersonal, problem-solving and organizational skills
  6. Capable of maintaining accurate records
  7. Ability to analyze financial records and locate abnormities
  8. Ability to understand and follow directions and meet timelines
  9. Must be able to multi task numerous projects
  10. Familiarity with and ability to operate various office equipment
  11. Knowledge and experience with purchasing preferred
  12. Ability to maintain strict confidentiality
  13. Employees must be of high moral character

Section 3. Authority and Responsibility

Essential Duties include:

  • Compose, transcribe and type correspondence, memos, and other miscellaneous paperwork;
    file, prepare mail, maintain department records and files, and process payroll
  • Proof memos and all written material for content and grammar
  • Maintains highest level of confidentiality within the department
  • Advise department management of relevant or important information pertaining to the
    responsibilities of the department or operations
  • Maintains the surveillance department budget
  • Schedule appointments for the Director of Surveillance
  • Contribute to the creation of a positive environment in the surveillance room.
  • Develop skills through review, testing, and self-study.
  • Held accountable for accuracy and thoroughness of departmental records and reports
  • Act as a receptionist for the department, both in person and on telephone
  • Organize and maintain an accurate filing system within the Surveillance Department
  • Assist the Surveillance Director as needed
  • Maintain statistical data for the Surveillance Department, prepare various reports with this
    information, distribute data/reports by deadlines
  • Facilitate the flow of information throughout the department by attending meetings, taking
    and distributing minutes of the meetings
  • Prepare and process purchase orders through the Mille Lacs property and the Mille Lacs
    Band of Ojibwe Office of Management and Budget Department, maintain inventory of
    supplies while remaining within the department budget and maintaining appropriate files
  • Coordinate with the Compliance Department for licensing status of vendors
  • Responsible for maintaining a consistent and regular attendance record
  • Held accountable, to a high degree, for the accuracy and thoroughness of departmental
    records and reports
  • Serves as coordinator for departmental events, including but not limited to, training
    programs, award celebrations, oversee all details of these events including room reservations,
    ordering of supplies, preparing and printing material, catering, coordination of invitations and
    travel for any guests, event day set up and troubleshooting
  • Coordinate conference registration and travel for surveillance director and team members
    traveling in a work capacity
  • Data mines through all departments financial transactions and locates and reports
    abnormalities
  • Analyze player behavior, interpret facts from the evidence shown, draw conclusions based on
    this review
  • Identify fraudulent transactions
  • Locates statistical variances with in all departments financial or transactional data
  • Report all findings to the surveillance director or manager
  • Develop collaborative professional relationships outside of the surveillance department
    through participation on committees as appropriate
  • Other duties as assigned

Section 4. Working Conditions

  • The nature of work is such that periods of significant and frequent stress levels may be
    experienced
  • Little threat of risk or personal danger
  • Hours vary based on shift assignment, significant variations and additional hours may occur
    to complete responsibilities of the position
  • Extra hours may be required, but not a significant part of the job

Section 5. Special Considerations

  • Must have valid driver’s license.
  • Must have reliable personal transportation.
  • Travel between properties will be required, depending on workload and assignments.
  • Must have proof of current insurance coverage and insurability under the Band’s Auto
    Insurance Policy.
  • Must be able to obtain a Mille Lacs Band Class A gaming license.
  • Must be able to pass a company pre-employment drug and alcohol test.
  • Pre-employment skills testing
  • Must be able to sit for extended periods of time
  • Must be able to type on a computer for extended periods of time
  • Must be able to clearly see a monitor from at least 8 feet
  • Regularly required to see, talk and hear; use hands to finger, handle, or feel
  • Must occasionally lift up to 25 pounds
