SUMMARY:
The Office Assistant provides general clerical work and facility upkeep for the Administration Department. This position will focus on reception, greeting guests, answering phones, processing incoming & outgoing mail, managing office supplies, and assisting the Administration Coordinator.
QUALIFICATIONS:
• High school diploma or GED certificate.
• One (1) year post-secondary education; or one year experience in an administrative capacity related experience; or equivalent combination of education and experience.
• Capable of reading and interpreting documents such as administration processes, policies & procedures manuals.
• Ability to write routine reports and correspondence.
• Ability to do basic math.
• Familiarity with and ability to operate a PBX (telephone switching) system.
• Experience with Verizon wireless devices, services and account management preferred.
• Strong verbal communication skills.
• Familiarity with and ability to operate various office equipment, including printer & copying, scanning machines, etc.
• Basic personal computer skills in a Windows environment, including Excel, Word, Outlook, remote conferencing (Zoom/TEAMS), desktop software and Laserfiche. Maintains administration files and databases, including Administration Policy Board documents.
• Schedules the use of the administration meeting room.
• Experience working in a Native American Community preferred.
• American Indian Preference in hiring.
DUTIES AND RESPONSIBILITIES:
• Answers phones and obtains caller's name and arranges for appointment with person called upon, if necessary. Directs personnel & visitors to destination and records name, nature of business, and person called upon.
• Ability to nativage mobile operating systems, (IOS & Android) and assist users with device set up application and basic technical support for Executive Branch.
• Process Administration payroll spreadsheets according to timelines.
• Recording of Administration Policy Board meetings, including communication of timelines, review of agenda items, draft agenda and amend, if necessary, record meeting, draft minutes, obtain signatory approval and distribute, in the absence of the Administrative Coordinator.
• Receive and distribute Legislative approved documents, Administrative Policy Board documents, and other Executive Branch correspondence.
• Assist with billing and payment of routine invoices, at the discretion of the Administrative Coordinator.
• Schedule the use of the administration conference room.
• Maintain and update various lists and databases.
• Review, sort and distribute incoming mail and process outgoing mail.
• Maintain and order office supply inventory.
• Shred confidential documents, as directed.
• Performs variety of clerical duties.
• Other duties as assigned
WORKING CONDITIONS:
• Stress due to workload or nature of work is generally insignificant.
• Work is exclusively in doors in a controlled climate area.
• Little threat of personal danger or risk.
• Hours are typically 8-5, but possibly with evening hours.
• Travel is not required.
